SECRETARY TO HOME IMPROVEMENT BOARD

DISTINGUISHING FEATURES OF THE CLASS: Work involves a wide variety of responsible clerical and record keeping duties, requiring confidentiality and use of independent judgment. Work involves considerable contact with the public and Home Improvement Board members. Duties include clerical work and accurate recordkeeping relative to all the books and records of the Home Improvement Board. Work is performed under general supervision. Supervision of others is not usually required of this position. Performs related work as required.

TYPICAL WORK ACTIVITIES: (Illustrative Only)

  • Performs all of the secretarial work for the Putnam County Home Improvement Board;
  • Prepares meeting agendas and meeting materials for Home Improvement Board members;
  • Attends all meetings of the Home Improvement Board;
  • Keeps complete and accurate records of all proceedings;
  • Prepares minutes of the meetings;
  • Answers all communications pertaining to home improvement;
  • Arranges for bi-annual elections;
  • Reviews home improvement registration applications for completeness, requests missing information;
  • Generates licenses and decals for approved candidates;
  • Prepares violation letters for appearance tickets issued by Compliance Enforcement Officers;
  • Maintains database of all registered home improvement contractors;
  • Maintains files and corresponds for Home Improvement Board members;
  • Collects, records, and reports on registrations and other fees received;
  • Answers telephone and mail inquiries and provides callers with requested information;
  • Performs a variety of related activities as required.

FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICSGood knowledge of modern methods used in business procedures, as well as office terminology, procedures, and equipment; ability to organize and maintain accurate records and prepare reports; ability to take notes at a satisfactory rate of speed where appropriate; ability to develop effective working relationships and deal diplomatically with the public; must possess sound judgment, honesty, tact, and courtesy.

SUGGESTED MINIMUM QUALIFICATIONS:  Either

  1. Completion of a post high school business or secretarial course and three (3) years of secretarial experience; or
  2. High school graduation or possession of a high school equivalency diploma and four (4) years of secretarial experience, or
  3. Five (5) years of secretarial experience; or
  4. An equivalent combination of training and experience as described in a), b) and c) above.

PLEASE NOTE: Your degree must have been awarded by a college or university accredited by a regional, national, or specialized agency recognized as an accrediting agency by the U.S. Department of Education/U.S. Secretary of Education.
